Ask only for useful information
For an initial project enquiry, a name, contact number, service and short project description may be enough. Budget and timing can be optional if they help the discussion. Do not require sensitive documents or unnecessary personal information at this stage. Shorter forms are also easier to complete on a phone.
Build a readable message
Label each field in the prepared message so that the recipient can understand it without seeing the website form. Keep line breaks between details and avoid adding long marketing text. Include the selected service and the visitor’s own question. Encode the message correctly so punctuation and local-language text survive the link.
Explain the send step
A standard WhatsApp click-to-chat link opens a conversation with text prepared; it does not silently send the message. The visitor still taps Send inside WhatsApp. Make that behaviour clear in the form. Do not display “message delivered” just because a website generated a link or opened another application.
Provide a fallback
Some browsers block popups, and some visitors do not have WhatsApp available on the device. Keep the contact number and an email link visible. If you use a review step, preserve the completed fields when the visitor returns. A fallback avoids losing an enquiry simply because an external application did not open as expected.
Keep account integrations separate
A Google Form normally collects responses through Google’s form workflow. Automatically forwarding those responses into WhatsApp needs a separate authorised integration and suitable account setup. Do not present a plain website form as a connected Google Form. Choose the workflow that matches your needs and document what is actually installed.
A quick checklist
- Keep fields relevant and limited.
- Show the prepared message clearly.
- Tell visitors to tap Send in WhatsApp.
